Role Overview:

As a Volunteer Event/Entertainment Coordinator, you will play an integral role in supporting the planning and delivery of monthly charity events at The Lingdale Tavern. These events are designed to raise funds for the Lingdale Tavern Community Hub and will feature live entertainment, a roast dinner/main meal, and other exciting activities. The events will be held on the closest Saturday after the last working day of each month, with a few exceptions, such as:

We hope to have our first launch event on Saturday, 30th November 2024.

20th December 2024: Second Event (Friday)

The regular schedule will continue from January 2025.

You will help coordinate entertainment acts, manage event logistics, and ensure the smooth execution of each event. This is a fantastic opportunity to gain experience in event planning while contributing to a meaningful community initiative.

Key Responsibilities:

– Assist in the planning and coordination of entertainment for each monthly charity event, including live performances, tribute acts, comedians, and local talent.

– Liaise with performers, entertainers, and hosts to confirm schedules, technical requirements, and other event needs.

– Support the setup and breakdown of the event space, including stage setup, seating arrangements, and any equipment needs.

– Ensure performers are briefed and prepared before their performances.

– Assist in managing the event timeline, ensuring all activities run on schedule.

– Provide excellent customer service to event attendees, ensuring they have an enjoyable experience.

– Work closely with the Volunteer Marketing/Promotion Coordinators to align the event’s promotion with the entertainment and overall event concept.

– Support the evaluation of events by gathering feedback from attendees, performers, and volunteers to improve future events.

Proposed Event Concept:

Each event will feature two 45-minute live performance spots, with a roast dinner/main meal served in between. Guests will enjoy a night of entertainment, that could include acts doing: solo singers, impersonations, tribute acts, comedians, drag performances, live bands, or musical performances. The events will have a ticket price per person and will be seated with a limited number of tickets, approx 40-50 seating capacity, which includes dinner and entertainment, with additional fundraising activities such as raffles or auctions to raise further money for the community hub.

– Willingness to collaborate with a diverse range of people and teams.

– Previous experience in event coordination or entertainment management is a plus, but not required.
